The short version
We collect what we need to serve you well. We don't sell or share your data with third parties for marketing. We don't do anything creepy with it. If you want us to delete it, just ask.

What we collect
When you use our website or chat with us, we may collect:

Account Information — Login credentials, membership plan, and account preferences
Conversation Data — Messages exchanged through our chat interface, used to provide continuity and context across conversations
Business Information — Company name, industry, goals, and other business details shared during conversations or onboarding
Usage Data — Pages visited, features used, time on site, and general browsing behavior via privacy-respecting analytics
Document & Signature Data — Service agreements, statements of work, and e-signature records processed during onboarding
Project Data — Task details, deliverables, timelines, and project communications created during your engagement

Who we share it with
We use the following tools and services to operate our platform. Each processes data only as necessary to provide their specific function:
Anthropic — Conversational AI that powers our chat interface and assists with service delivery
Supabase — Database and authentication infrastructure for conversation data, client records, and project data
Webflow — Website hosting and content management for reformer.la
Render — Application hosting for our custom platform
Stripe — Payment processing for subscriptions and invoicing
Memberstack — User authentication and account management for the client portal
Dropbox Sign (HelloSign) — Electronic signature processing for service agreements and statements of work
Dropbox — Secure file storage for signed documents and client deliverables
ClickUp — Project management and task tracking for client engagements
Slack — Internal team notifications and workflow automation (client data is not stored in Slack)
Resend — Transactional email delivery for account notifications, onboarding communications, and system alerts
Plivo — SMS messaging carrier for text messages we send to clients and leads who have opted in
Cal.com — Scheduling for strategy sessions and client meetings
Pirsch — Privacy-respecting website analytics (no cookies, no personal tracking)

We do not sell or share your personal information — including mobile phone numbers and SMS opt-in consent — with third parties, affiliates, or marketing partners for their own marketing or promotional purposes. We may share information when required by law, court order, or to protect the rights, property, or safety of Reformer, our clients, or others.

SMS / Text Messaging
Reformer LLC sends SMS messages only to individuals who have given prior express consent, either by (a) submitting a form on reformer.la or portal.reformer.la with the SMS opt-in checkbox selected, or (b) verbally or in writing authorizing us to text them during a direct conversation with our team. All consent is recorded in our CRM (channel, date, and consent language) before any messages are sent.

What you may receive: project updates, lead follow-ups, appointment reminders, and one-to-one customer-care replies. Message frequency varies. Message and data rates may apply. Consent is not a condition of any purchase.

Opt out: Reply STOP to any message to unsubscribe. Help: Reply HELP or email hello@reformer.la.

No sharing of mobile information. Mobile phone numbers and the SMS opt-in consent you give to Reformer LLC are not sold, rented, leased, or shared with any third parties or affiliates for marketing or promotional purposes. Mobile opt-in data is disclosed only to the service providers strictly necessary to deliver the messages (our messaging carrier, Plivo), and those providers are contractually prohibited from using the data for their own marketing.

Cookies
We use minimal cookies for essential site functionality. Pirsch, our analytics provider, does not use cookies. If any third-party embeds on our site set cookies, we will disclose them here.

Your rights
Access — Request a copy of the personal data we hold about you

Data Retention
We retain your data for as long as your account is active or as needed to provide services. After your engagement ends, we retain records for a reasonable period to comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion at any time, and we will process your request in accordance with applicable law.

Data Security
We protect your information using industry-standard security measures, including:
Encryption in transit (TLS/SSL) and at rest
Access restricted to team members who need it to perform their duties
No direct storage of payment card information (handled entirely by Stripe)
Regular review of security practices and third-party tool configurations
Row-level security on database records

Children's Privacy
Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child, we will take steps to delete it promptly.

California Privacy Rights
If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and how it is used, the right to request deletion, and the right to opt out of the sale of personal information. As stated above, we do not sell personal information.

Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted here with an updated effective date. For significant changes, we will provide reasonable notice via email or through our platform.
